Terms & Conditions

Welcome to Heritage Trial Tours. By booking a tour, purchasing a travel package, or using our website, you agree to the following Terms & Conditions.

Bookings & Reservations

A reservation is confirmed once the required deposit or full payment has been received.

All prices are quoted in U.S. Dollars (USD) unless otherwise stated and are subject to change until a booking has been confirmed.

Deposits

All deposits are non-refundable and non-transferable.

Deposits secure your reservation, accommodations, transportation, and tour arrangements.

Final Payment

Full payment must be received 45 days prior to departure unless otherwise stated.

Failure to make payment by the due date may result in cancellation of your reservation without refund of your deposit.

Cancellation Policy

If you cancel your trip:

More than 30 days before departure:
- Refund of payments made excluding the non-refundable deposit and service fees.
29–25 days before departure:
- 70% refund of payments made excluding deposit and service fees.
24–15 days before departure:
- 50% refund excluding deposit and service fees.
14 days or less before departure:
- No refunds.

No refunds will be issued for:

Missed flights
Late arrivals
No-shows
Unused tour components
Early departures

We strongly recommend purchasing comprehensive travel insurance.

Passport, Visa & Health Requirements

Guests are responsible for ensuring they have:

A valid passport
Required visas
Required vaccinations
Any necessary travel documentation

Failure to obtain proper documentation is not the responsibility of Heritage Trial Tours.

Travel Insurance

Travel insurance is highly recommended for all travelers and should include coverage for:

Trip cancellation
Medical emergencies
Lost baggage
Flight delays
Emergency evacuation

Itinerary Changes

While we make every effort to operate tours as advertised, Heritage Trial Tours reserves the right to modify itineraries due to:

Weather
Government regulations
Road conditions
Safety concerns
Local festivals
Currency fluctuations
Operational requirements
Circumstances beyond our control

Substitutions of equal or greater value may be made when necessary.

Traveler Conduct

We are committed to providing a safe and enjoyable experience for every guest.

Heritage Trial Tours reserves the right to remove any traveler whose behavior is abusive, threatening, disruptive, intoxicated, illegal, or disrespectful toward staff, guides, drivers, accommodations, or other guests.

If removal from a tour becomes necessary:

No refund will be issued.
The traveler will be responsible for any additional expenses incurred.
We will assist in arranging safe transportation back to their accommodation whenever possible.

Liability

Heritage Trial Tours acts only as an organizer of travel services.

We are not responsible for:

Airline delays
Lost baggage
Acts of God
Political unrest
Weather conditions
Illness
Injury
Theft
Accidents
Supplier failures
Circumstances beyond our reasonable control

Participation in all activities is voluntary and at the traveler's own risk.

Photography

During tours, photographs and videos may be taken for promotional purposes.

If you prefer not to appear in promotional materials, please notify us before your tour begins.

Currency Exchange Rate Policy

Tour prices are based on the prevailing exchange rate between the U.S. Dollar (USD) and the Ghanaian Cedi (GHS) at the time the tour is published. Because many services are paid for in Ghanaian Cedis, significant fluctuations in exchange rates may affect the cost of operating a tour. Heritage Trial Tours reserves the right to adjust pricing before final payment if exchange rate changes, government actions, taxes, supplier price increases, or other factors materially increase the cost of providing the tour. Every effort will be made to minimize any such adjustments, and guests will be notified promptly of any changes.

Governing Law

These Terms & Conditions shall be governed by the laws of the Republic of Ghana.
